QB Issue Resolution:
“As for as I can tell, QB uses the items list to track both finished goods for sale and raw materials for purchase.”
Well, sure, but you can put each under a Parent Level item. Example:
Raw Materials <== Do Not Use
Subitems <== all activity is here
This is a structure called Hierarchy, and is available in Items, Accounts, Class, Customer, and a bunch of others. It also provides for Expand/Collapse reporting.
“Currently with the system we are replacing, when a purchase order is created the items to choose from for the purchase order come off of a raw materials database that does not show any finished goods.”
The point is that you can buy or sell Anything.
“The user can search a list of just finished goods.”
Make a new Parent item, the assign the others are subitems.
“Similarly, when a sale order is created only items off the finished goods list show up. From what I see in QB I have only one list of inventoried items stored in the “Items” list.”
Because that is Your Inventory.
Items can be bought, sold; or bought and sold. This is called Two Sided item, for noninventory, service and Other Charge type of items.
“So now when a user opens a purchase order they see both raw materials and finished goods and the same with a sales order the user sees both. I would like a way to have the purchase order see only raw material and the sales order see only finished goods. Right now they both show the complete Items list.”
Organize your Items List.
