QB Issue Resolution:

I’ll share some insights on how QuickBooks Desktop (QBDT) manages a re-hiring employee.

Changing the employee’s start date from the original hire date to the day he returned to work will not lose valuable information. This way, if you have to write another Record of Employment (ROE), it’ll cover the period worked. When it comes to tax time, you’ll add both employment periods together for your submissions.

Before you can reactivate your employee, I’d suggest printing all the payroll and tax reports which covers the original employment period. By doing so, you’ll have copies of the employee’s payroll data.

Here’s how to print payroll and employee reports:

  1. Go to the Reports menu at the top.
  2. Select Employees and Payroll.
  3. Choose your desired existing report.
  4. Select Customize Report to modify your report.
  5. Go to the Filters tab, then select Name.
  6. In the Name drop-down arrow, choose the specific employee.
  7. Select OK.
  8. In the Report screen, click the Print tab.

Then, you can re-activate him by performing the steps below:

  1. Go to the Employees menu at the top.
  2. Select Employee Centre.
  3. Double-click the employee’s name.
  4. Go to the Employment Info.
  5. Change the Hire Date to the date the employee returned (re-hired).
  6. Remove the Release Date, then enter the new ROE code of the employee.
  7. Make sure the Employee is inactive is unchecked at the bottom.
  8. Click OK.
