QB Issue Resolution:
Yes – it is possible to import all your lists into a new data file, but historical data is not copied. A New Company has no history.
First, in your current data file, click on File>Utilities>Export>Lists to IIF file. Select all the lists you wish to copy to the New Data File – with the exception of the Chart of Accounts. That will be done in the next step. Tell QB where to save the file (I always save to the desktop for easy access) and give the file a name, applying the IIF extension. The file name will look something like Lists from old company.IIF.
Next, in your current data file, click on File and select New Company from existing company file. Enter your New Company Name and click Create Company. This action copies the Chart of Accounts without data into the New data file. This is the only time accounts can be deleted- make any adjustments required.
Next, open the New Data File. Click on File>Utilities>Import>IIF files. All the lists you exported will now be copied without balances. This is a good time to do housekeeping – delete any customers, vendors and items no longer needed.
You will have to enter your New Company Information (Business number etc.) Opening balances can be entered in each account in the setup. You should not enter opening balances in Accounts Receivable or Accounts Payable. Open Customer Invoices and Vendor Bills should be created in the New Company to create the balances.
