How do I accept card payments online in QuickBooks Online?

Accept card payments from customers

You can accept customer credit and debit card payments directly inside QuickBooks Online when you sign up for QuickBooks Payments (by Intuit). If you already have an account with QuickBooks Payments, link it to your company to start processing.

Before you begin

Receive a card payment for an existing invoice

  1. Go to + New and select Receive payment.
  2. Choose the customer. The customer’s open invoices appear.
  3. Check the invoice(s) you want to pay, enter the Payment date, and choose a Payment method (e.g., MasterCard, Visa).
  4. Click Enter card details (or Add card) – if a card is already saved for this customer, the last 4 digits show and you can select it.
    • To store the card securely for future use, check Save this card for future transactions.
  5. Confirm that the Process payment when saving toggle is turned on.
  6. Click Save and close (or Save and new). The payment is authorized and recorded instantly.

Record a sale and take a card payment at the same time

  1. Go to + New and select Sales receipt.
  2. Fill in the customer name, date, products/services, and amounts.
  3. Under Payment method, pick the credit card type.
  4. Enter card details or use a saved card.
  5. Ensure the processing toggle is active, then click Save.

What happens next

Note: If you don’t see the option to enter card details, your QuickBooks Payments account may not be fully set up. Go to Settings ⚙️ → Account and settings → Payments and follow the prompts to activate it.
