Fixing reconciliation problems in QuickBooks Online
Reconciling an account in QuickBooks Online means matching it against a bank or credit card statement until the difference reads zero. When an opening balance is wrong or a reconcile will not balance, the cause is usually a transaction that changed after an earlier reconciliation closed.
Reconciliation basics
Each time you reconcile, you enter the statement’s starting and ending balances, then mark transactions as cleared until the cleared total matches the ending balance. QuickBooks Online then carries that ending balance forward as the next opening balance.
The system depends on history staying still. If anything inside a closed period changes later, every following opening balance shifts by that amount.
Why is the opening balance wrong?
A wrong opening balance is almost never a bank error. It means something moved inside a period that was already reconciled.
An edited or deleted reconciled transaction is the most common cause. A transaction that was never entered at all has the same effect in the other direction.
A past forced adjustment is the other usual suspect. If an old reconcile was closed with a journal entry just to make it balance, that entry keeps distorting the account until someone finds it.
Find the cause first
Work through these in order before you undo anything. The first step usually answers the question on its own.
- Run the Changed transactions report from the reconcile screen. It lists transactions that were edited, deleted, or added after a reconciliation finished, which is the quickest explanation for a shifted opening balance.
- Pull the previous reconciliation report for the account. It shows what was reconciled, when, and by whom, so you can compare it against the register today.
- Look for old reconciliation adjustments. An entry used to force a past reconcile to close will still be sitting in the account.
- Undo the reconciliation only if the fix means re-clearing the whole period.
Intuit’s reconciliation guides

Balance problems
- Start with Intuit’s guide to reconciling a whole year at once if you are catching up on several statements.
- Troubleshooting a reconciliation that will not balance is the help center’s combined article on opening balances and missing transactions.
Reports
- Intuit’s page on using the Changed transactions report explains the tool in step one.
- Printing a previous reconciliation report covers the report in step two.
- Finding past reconciliation adjustments walks through step three.
Undo and edit
- Undoing a reconciliation gives the full procedure for rolling a completed reconcile back.
- Clearing, unclearing, reconciling, or unreconciling transactions covers changing a status one transaction at a time.
When should you undo a reconciliation?
Only once you know what changed. If a single transaction was miscategorized, fix that transaction instead of redoing the month.
A full undo of a completed reconciliation is not available to every user in QuickBooks Online. Intuit’s undo guide, listed above, says which logins can do it and what the alternatives are.
How we help
E-Tech is an independent QuickBooks data specialist and is not part of Intuit. We have no access to your QuickBooks Online company, billing, or subscription; questions about those belong with Intuit’s own support.
We work on the data underneath. Reconciled statuses and opening balances sometimes arrive wrong after a Desktop to Online conversion, and we repair converted data of that kind. When years of forced adjustments have built up and you need a clean, documented starting point, that work is ours.
