Can you archive or delete a customer in QuickBooks Online?
QuickBooks Online does not let you permanently delete a customer, so the closest thing to archiving one is to make it inactive. Making the name inactive hides it from your lists and drop-downs, while every transaction stays in your books and on your reports.
Hidden, not deleted
An inactive customer disappears from the customer list, from the drop-downs on sales forms, and from name fields as you type. Nothing is removed behind that. Invoices, payments, and credits keep their original dates and amounts, and any report spanning those dates still shows them.
The label can be confusing. When you ask the list to include inactive names, QuickBooks Online tags each hidden name as deleted, even though nothing was deleted. The tag only marks the name as hidden.
The same approach covers vendors, products, and services. Intuit applies the same rule across QuickBooks Online: names are hidden, history is preserved, and nothing is truly erased.
Making a customer inactive
- Open the Sales menu, or Get paid & pay in the newer navigation, and select Customers.
- Find the customer in the list.
- In the Action column, open the drop-down arrow and choose Make inactive.
- Select Yes to confirm.
One caution before you confirm. If the customer is a parent with sub-customers, each sub-customer becomes inactive as well, and all of their shared history stays grouped together.
What happens to the balance?
An open balance survives the change. QuickBooks Online does not zero it out, and the amount keeps appearing in accounts receivable and on open invoice reports until something clears it.
If you want the account clean before hiding it, settle up first. Record the payment, apply an existing credit, or issue a credit memo for the remainder. A small leftover balance is often cleared with a credit memo applied to an expense account.
Restoring a customer later
Inactive is reversible at any time. Reactivating brings the name back with its full history attached.
- Return to the Customers list.
- Select the small Settings (gear) icon above the list itself.
- Check the box for Include inactive.
- Find the name, open its Action column drop-down, and choose Make active.
The checkbox is easy to miss. It sits in the gear menu on the customer list, not in the wider account settings, so if the name is not appearing, check that you opened the right gear.
A cleaner fix for duplicates
Many people go looking for a delete option because they entered the same customer twice. Hiding one copy works, but merging the two is often cleaner, because it combines both histories under a single name instead of leaving half the history hidden.
- Open one of the duplicate customers.
- Edit its display name to match the other customer exactly.
- Save the change and confirm that you want to merge the records.
The action cannot be undone, so verify the spelling before you save. A merge will not go through when either name has sub-customers, so reassign those first if needed.
Whether you hide or merge, the audit trail is what QuickBooks Online protects. Transactions cannot be orphaned, which is why the delete button you may remember from other software simply is not there.
