Can I export QuickBooks Online and Desktop inventory to Excel to compare?

Yes, you can export inventory data from QuickBooks Online to Excel, and QuickBooks Desktop can also export its inventory list to Excel. The two files are not built to line up automatically, so comparing them takes a little spreadsheet preparation.

How do I export from QuickBooks Online?

  1. Select the Settings gear icon.
  2. Select Products and Services.
  3. Select the Filter icon.
  4. Set the Type filter to Inventory, then select Apply.
  5. Select Export to Excel in the top right of the list.
  6. Open the downloaded workbook in Excel.

The filtered export contains only the inventory items shown in the list at that moment. In many QuickBooks Online accounts, the columns include product name, SKU, type, description, sales price, cost, and quantity on hand. Filtering first is the key step because it prevents service and bundle rows from being mixed into the comparison.

What should I align before comparing?

QuickBooks Online and QuickBooks Desktop use different field names and column order, even when the information describes the same item. Put both files in Excel and move columns so the values you want to compare sit side by side. The most reliable common key is the SKU column, where both systems use SKUs consistently.

If one side is missing SKUs, product name can work, but only when the names match exactly, including case and spacing. For a longer list, make a third sheet with a lookup formula. For a smaller one-time review, sort and paste the two exports side by side. Remove duplicate SKUs first if you suspect either system contains duplicate items.

Why does the Desktop file look different?

QuickBooks Desktop also exports inventory data to Excel, but its menus and labels vary by version and edition. In Desktop, the same records are usually kept in the item list rather than under a products and services area. Desktop item types also do not map one-to-one to QuickBooks Online product types, so compare at the item level rather than expecting every type code to match.

The comparison is still useful for a migration or a two-system reconciliation, but the Desktop file often needs the most cleanup because it may include inactive and non-inventory items. For exact QuickBooks Desktop export steps, use Intuit’s own help for your Desktop version. We cover the QuickBooks Online side here because that is the product this site supports.

Can the two files actually be compared?

Yes, but only as two point-in-time files. Quantity on hand changes with every sale, purchase, and adjustment, so export both systems on the same day, or note the as-of date for each file. A SKU-to-SKU lookup will show which items are out of sync, which are unique to one system, and where cost or price values differ. Once the columns are aligned and the dates match, the comparison is a standard Excel exercise.
