Can I print a report in check number order?
Yes, you can customize the Cheque Detail report to sort by cheque number. However, if you have multiple cheques with the same number or specific date conflicts, the report may not display in a strict numerical order. In that case, exporting to Excel is the best way to get the exact sort you need.
Customize the report in QuickBooks Online
- Go to Reports in the left menu.
- In the search bar, type Cheque Detail and select the report.
- Select the Customize button.
- In the General section:
- Set Report period to All Dates (or your preferred range).
- Set Group by to Account.
- Set Sort by to Num.
- Select Run report.
The report will attempt to list cheques by number, but it may also group them by transaction date, which can sometimes disrupt the numerical sequence.
Export to Excel for a precise sort
If the online report order is not strictly sequential, export the data to Excel:
- With the report open, select the Export icon (usually a printer or arrow icon) at the top right and choose Export to Excel.
- Open the downloaded file.
- Clean up the spreadsheet:
- Delete the top header rows containing the Report Name, Company Name, and Date Range so that only the column headers (e.g., Date, Num, Payee, Amount) and the data remain.
- Delete any completely empty columns to the left of your data.
- Highlight the data you want to sort, including the column headers.
- Go to the Data tab in the Excel ribbon and click Sort.
- In the Sort dialog box:
- Set Sort by to Num.
- Ensure the My data has headers box is checked.
- Click OK.
Your cheques will now be sorted strictly by cheque number.
