Why is my QuickBooks Online beginning balance wrong?
When the beginning balance in a QuickBooks Online reconciliation no longer matches your statement, the set of previously reconciled transactions has changed since that reconciliation closed. Most often a reconciled transaction was edited, deleted, or moved to a different status, though an earlier forced reconciliation can also shift the number. Here is how to trace the change and put the balance right.
Understanding the beginning balance
The beginning balance is the sum of every transaction in the account marked as reconciled. QuickBooks Online recalculates it from the register each time you start, so it moves whenever a reconciled transaction moves.
To see those statuses, open the register:
- Select Settings (the gear icon), then Chart of Accounts.
- Find the account and select View register or Account history.
- Read the status column, usually the far right, beside each transaction.
The three states mean this:
- R, reconciled: cleared and confirmed inside a finished reconciliation. Included in the beginning balance.
- C, cleared: marked as cleared but not yet reconciled. Excluded from the beginning balance.
- Blank, uncleared: never cleared, never reconciled. Excluded as well.
A transaction that changes state after a reconciliation closes is exactly what moves the next beginning balance.
Common causes of the change
If the last reconciliation finished correctly and the balance has since moved, something changed in the register afterward. The usual causes are these:
- A reconciled transaction was edited, changing its amount or date.
- An R status was switched to C or cleared back to blank.
- A transaction that was never reconciled was marked R in error.
- A reconciled transaction was deleted entirely.
- An earlier reconciliation was forced to balance, and its adjustment now sits inside the balance.
Finding the changed transaction
Start with a filtered view of the register:
- Open the register as described above.
- Select the Filter icon, shaped like a funnel.
- Under Status, choose Reconciled, then apply the filter.
- Scan the results for anything edited, missing, or out of place since the last reconciliation.
The Audit Log is the stronger tool when nothing obvious turns up. It records every edit and every deletion with a date, a time, and the user responsible.
- Select Settings, then Audit log.
- Filter the dates to the period since your last reconciliation.
- Under Events, show transaction changes and deleted or voided transactions.
Deleted entries appear in the log with a link that shows what was removed and who removed it. In a file with several users, that column alone often solves the mystery.
Restoring the register entries
Before editing anything, run the report from your last finished period. Open Settings, choose Reconcile, then History by account, and run the report; it lists every transaction that made up the old balance.
- If a reconciled transaction was edited, restore the original amount and date from that statement.
- If its status was changed, click the status box in the register until it reads R again.
- If a reconciled transaction was deleted, re-enter it with its original details and mark it R for the correct period.
Click a status to R by hand only when you are restoring a transaction to its prior state. Marking unreconciled items R hides them from the next reconciliation instead of resolving anything.
Once the register matches that report again, the beginning balance on the reconciliation screen should agree with your statement.
Can you undo a reconciliation?
Company administrators cannot undo a finished reconciliation in QuickBooks Online. The Undo action belongs to QuickBooks Online Accountant, so it takes an accountant user.
That user opens Settings, chooses Reconcile, then History by account, and undoes the most recent period from its Action menu. Undo returns every transaction in that period to its prior status, so entries can be corrected and the period reconciled again.
Undo is the clean route when earlier sessions were forced to balance. Small adjustments left behind by those sessions stack across periods, and no single register edit clears them. The accountant works backward one statement at a time.
If only Intuit can help
A few situations sit beyond both the register and the accountant’s Undo. If the beginning balance still refuses to match after the corrections above, the reconciliation may need a reset from Intuit’s side.
Intuit’s support team has tools that neither you nor your accountant has, and a reset request goes through Intuit’s own support channel. E-Tech is independent of Intuit, and we have no access to your QuickBooks Online account or its reconciliation history.
Whichever route fixes it, reconcile the current statement carefully before moving on. A period that closes honestly gives every later period a clean starting point.
