Customer Refund Not Zeroing Out Account
To refund a customer who has a credit balance (an overpayment or credit memo) in QuickBooks Online, you need to link the refund payment to that specific credit. Using a Refund Receipt will not clear the open balance in Accounts Receivable.
Follow these steps to issue the refund correctly:
- Select the + New button.
- Under the Vendors column (or Suppliers), select Check (if paying by check) or Expense (if paying by other methods, such as online transfer).
- In the Payee field, select the customer you are refunding.
- In the Payment account field, select the bank account from which the funds are being withdrawn.
- Go to the Category details or Item details section.
- In the Account column, select Accounts Receivable.
- Enter the refund amount.
- (Optional) Enter a description or memo.
- Select Save and close.
Once saved, QuickBooks will open a window titled Credit Applied to an Invoice/Refund. This step is crucial for zeroing out the customer’s balance:
- Locate the credit or overpayment you wish to apply.
- Ensure the Credit column shows the correct amount.
- Select Done.
This process links the bank withdrawal to the customer’s open credit, reducing your bank balance and clearing the amount due in Accounts Receivable.
When to use other forms
- Refund Receipt: Use this only when you originally recorded a sale using a Sales Receipt (payment received at the time of sale) and are now refunding that specific sale. This records the refund directly to your income accounts.
- Credit Memo: Use this when a customer owes you money (via an Invoice) but you are reducing or canceling that debt without giving money back immediately. This creates a credit the customer can use on future invoices.
