What is the QuickBooks Online data retention policy?
QuickBooks Online provides a specific window to access your data after your subscription ends or is canceled. The length of time you have access depends on your account status.
Access after cancellation or suspension
- Canceled subscriptions: If you cancel a paid subscription, your data remains available in read-only mode for one year from the date of cancellation. You can view and export reports and lists during this time, but you cannot create new transactions or edit existing ones.
- Expired trials: If you cancel during a trial period or let the trial expire, your data is available in read-only mode for 90 days.
- Billing issues (grace period): If your payment fails, you have a 14-day grace period to update your billing information. During this time, you retain full access to your data. If the billing issue is not resolved after 14 days, the account is suspended, and you will have read-only access for one year.
Exporting your data
We strongly recommend exporting your data before canceling your account. As long as you have read-only access to the company, you can export your data.
- Export options: You can export your data to Excel or, if you plan to move to QuickBooks Desktop, you can export it to a desktop version.
- Timeframe: Ensure you complete your export before your read-only access period ends (one year for paid subscriptions or 90 days for trials).
To export your data, go to Settings (the gear icon) and select Export Data. Follow the onscreen steps to download your lists or Excel files.
