How to file VAT I owe

To file your VAT return in QuickBooks Online, follow these steps to prepare the return, submit it to HMRC, and record the submission in your books.

Prepare and file your VAT return

  1. Go to the VAT Centre Select Taxes from the left navigation menu, then select VAT (or Go to VAT).
  2. Prepare the return Select the Prepare return link for the filing period you want to file. Ensure the From and To dates match your VAT accounting period.
  3. Review the amounts Verify that the figures for Box 1 through Box 9 are correct. If adjustments are needed, you can select Resolve to address exceptions or edit transactions before filing.
  4. File online with HMRC Select File online with HMRC.
    • You will be directed to the HMRC website. Log in using your Government Gateway user ID and password (you must be enrolled for the VAT online service).
    • Check that the amounts on the HMRC form match the figures in QuickBooks.
    • Submit the return directly through HMRC.
  5. Record the filing in QuickBooks Once you have successfully submitted the return to HMRC, return to QuickBooks. Select Mark as filed to close the VAT period and update your records.

Pay your VAT liability

QuickBooks automatically records the VAT you owe as a liability in your Chart of Accounts. It does not create a regular “Enter Bill” transaction.

After recording the payment, you can print the VAT return for your records by selecting View history in the VAT centre and choosing the specific return.
