Why does Undeposited Funds still show a balance after the deposit?
A balance left in Undeposited Funds after the money has reached your bank means QuickBooks Online recorded the payments but never grouped them into a bank deposit. The payments sit in a holding account, waiting for that step. Creating the deposit and selecting them clears the balance in a single entry.
Undeposited Funds holds payments briefly
When you record a customer payment, the Deposit to field defaults to Undeposited Funds rather than your bank account. The account works as a queue, not an error. It exists so several payments can be combined into one deposit that matches the single line your bank actually processed.
The balance usually lingers for one of three reasons:
- Payments were saved, but the bank deposit step was never completed.
- The deposit was typed directly into the bank register, bypassing the waiting payments.
- QuickBooks Payments funds arrived before the payments were grouped.
Create the bank deposit
This is the standard fix, and it keeps your reconciliation clean.
- Select + New, then Bank Deposit.
- In the Account field, choose the bank account that received the money.
- In the payments list, check every payment included in that deposit.
- Confirm the total matches the deposit amount on your bank statement.
- Select Save and close.
If the deposit covered several payments, select all of them so the one bank line matches. When your bank feed imports that line, match it to this deposit rather than adding it again. Adding it twice posts the income twice.
Edit the payment instead?
A payment that went to the bank on its own can skip the holding account entirely.
- Open the payment from the customer’s transaction list.
- Change Deposit to from Undeposited Funds to the bank account.
- Save the payment.
Use this only for standalone deposits. A payment processed in a batch with others will not match the bank line on its own, so group those through the deposit screen instead.
QuickBooks Payments deposits
Card and ACH payments processed through QuickBooks Payments are deposited by Intuit on its own schedule, with fees netted out. Confirm where those funds land:
- Select the Settings gear, then Account and settings.
- Open the Payments tab.
- In the Deposit section, check the accounts chosen for deposits and for fees.
- Save any change.
Because fees come out before the money arrives, the bank line can be slightly lower than the payment total. That difference is the fee, not a missing deposit.
After the deposit clears
Run a balance sheet and look at the account. It should read zero, or hold only payments that have not yet reached the bank. Do not delete a payment to force the balance down: doing so reopens its invoice and unapplies what the customer paid.
If the deposit was typed straight into the register earlier, remove that manual line once the proper deposit record exists. Otherwise the money is counted twice. Payments dated after the deposit, or sent to a different bank account, are the usual reasons a balance still refuses to clear.
