How do I start over with lists in my QuickBooks Online company?
If you need to start fresh with your lists (such as your Chart of Accounts, Customer List, or Vendor List) but keep your current company file, you can manually export and import the data.
Note: QuickBooks Online does not have a direct feature to export lists from one company file to another. You must export the lists to a file (like Excel or CSV) and then import them into the new or existing company.
Step 1: Export your lists
You can export most lists to Excel.
- Go to Settings (the Gear icon) and select Export Data.
- On the Lists tab, toggle the switch to On for each list you want to export (e.g., Chart of Accounts, Customer List, Vendor List).
- Select Export to Excel.
- If you don’t see the specific list you need in the Export Data tool, you can usually export it directly from the list page:
- Open the list (e.g., go to Settings > All Lists > Products and Services).
- Select the List or Run Report icon (depending on the list type).
- Select the Export icon (usually looks like a printer or an Excel sheet) and choose Export to Excel.
Step 2: Import your lists
Once you have your Excel or CSV files, you can import them into your destination company.
- Sign in to the QuickBooks Online company you want to import the data into.
- Go to Settings (the Gear icon) and select Import Data.
- Select the type of list you are importing (e.g., Customers, Vendors, Products and Services, or Chart of Accounts).
- Select Browse to upload your file, then follow the on-screen steps to map your columns to the correct QuickBooks fields.
- Select Import.
Important:
- Chart of Accounts: When importing the Chart of Accounts, ensure you map the account types correctly (e.g., Asset, Liability, Income, Expense) to avoid errors.
- Duplicates: QuickBooks will warn you if it detects duplicates during the import process. Review these carefully to decide whether to update existing records or skip them.
