How do I turn on the CVV reminder in QuickBooks Online?

You can enable a CVV reminder in QuickBooks Online from your account settings. When the reminder is on, the system prompts you to enter the card verification value each time you manually process a credit card payment.

What does the CVV reminder do?

The Card Verification Value is the 3- or 4-digit number printed on your customer’s credit card. It helps verify that the person entering the card details has the physical card in hand. QuickBooks Online can prompt you to enter this value before a payment is processed. This applies only to payments where you type in the card number yourself, not to card-on-file transactions that bypass the prompt.

How do I turn on the reminder?

  1. Select the Settings gear icon in the upper right corner of QuickBooks Online.
  2. Choose Account and settings from the menu.
  3. Select the Payments tab on the left side of the screen.
  4. In the CVV Reminder section, check the box for “Remind me to enter the CVV code.”
  5. Select Save.

The change takes effect immediately for your login. You do not need to sign out or refresh the page. If you do not see the Payments tab, your account may not have QuickBooks Payments enabled, or you may not have the permissions to view it.

What to expect when it is on

When you open a payment screen and begin entering a credit card number, QuickBooks Online displays a prompt asking for the CVV. You must enter the code before the transaction can be submitted. If you do not have the card in front of you, you will need to obtain the CVV from the customer before completing the payment. The reminder appears on sales receipts, invoices, and other payment forms where you manually enter card data. It does not appear when a customer pays through an invoice payment link, because in that case the customer enters their own card details.

The setting is user-specific

The CVV reminder applies only to your own QuickBooks Online login. Other users on the same company file must enable the setting themselves if they want the same prompt. There is no way for an admin to turn it on for everyone from a single screen. If you process payments on behalf of someone else, that person will need to enable the reminder under their own credentials. This can be a drawback in larger teams where consistency matters, so it is worth letting your staff know that the setting exists.

Recurring transactions are not affected

If you have set up recurring sales receipts that automatically charge a stored credit card, those payments run without the CVV. The reminder only appears when you manually enter card details. This is because recurring transactions use a card-on-file token rather than the full card number, and the CVV is not stored after the initial setup. Intuit designed it this way so that automated billing is not interrupted by a missing code. If you need to verify the CVV for a recurring customer, you would need to do so when first setting up the card on file.

Why the CVV matters

When you take a payment over the phone or through an invoice link, the customer is not standing in front of you. The CVV is one of the few checks that can confirm the person providing the card details actually has the card. Enabling the reminder adds a small but meaningful step that can reduce the risk of fraudulent or mistaken transactions. It also helps satisfy card network requirements for card-not-present transactions, which often mandate CVV collection. For businesses that handle a high volume of phone orders, the reminder can prevent costly chargebacks down the line.
