How do I list my companies under separate user IDs?

To separate your companies so they are listed under different user IDs, you need to invite a new user to the specific company you want to move and then transfer the Master Administrator role to them.

Step 1: Create a new user ID for the company

  1. Sign in to the QuickBooks Online company you want to associate with a new user ID.
  2. Select the Settings gear icon, then select Manage Users.
  3. Select Add user.
  4. Enter the email address you want to use for the new user ID and select Next.
  5. Choose Company admin as the user type, then select Next.
  6. Select the user settings (usually “All” for a full admin), then select Next.
  7. Review the info and select Finish.
  8. Sign out of QuickBooks.
  9. Open the email inbox for the new address and click the link in the invitation email.
  10. Select Create a new Intuit account and follow the on-screen steps to set up a unique user ID and password.

Step 2: Transfer Master Administrator rights (if needed)

If the user ID you are moving away from is currently the Master Administrator, you must transfer this role to the new user ID to complete the separation.

  1. Sign back in to the company using your original (current) user ID.
  2. Select the Settings gear icon, then select Manage Users.
  3. Select Accounting firms (if visible) or look for the Transfer Master Administrator link (often found in the bottom left or within the user management window).
  4. Select Transfer Master Administrator.
  5. Select the new user ID from the list and select Next or OK.
  6. Sign out of QuickBooks.
  7. Check the email inbox for the new user ID. You will receive a notification to accept the Master Administrator role.
  8. Click the link in the email to accept the transfer and sign in.

Once these steps are complete, the company will be listed under the new user ID when they sign in, and it will no longer appear under your original user ID’s company list.
