How to Show Payments Made After Invoice Date on Open Invoice?
To show payments made after an invoice date on the open invoice, you do not need to manually edit the invoice document. QuickBooks Online automatically tracks and applies payments to invoices. When you receive a payment, the system links it to the specific invoice, updating the status and balance.
Here is how to handle this correctly in today’s QuickBooks Online:
Receive a payment for an existing invoice
When a customer pays an invoice, record the payment so it applies to the open balance.
- Select + New.
- Select Receive payment.
- In the Receive payment window:
- Select the Customer from the dropdown.
- In the Outstanding Transactions section, select the checkbox for the invoice(s) the payment applies to.
- Enter the Payment date, Reference no., Deposit to account, and the Payment method.
- Enter the Amount received.
- Select Save and close.
Once saved, the invoice status will update (e.g., to “Paid” or “Partial”), and the balance will reflect the payment.
View or send the updated invoice
To see the payment reflected on the invoice itself:
- Go to the Get paid & Pay or Sales menu on the left navigation bar.
- Select Invoices.
- Locate and open the specific invoice.
- You will see the payment listed in the Activity or Transaction history section at the bottom of the invoice.
- To send this to the customer, select Review and send at the top right. The PDF the customer receives will show the current status and any payments applied.
Alternative: Send a statement
If you prefer to show a history of all invoices and payments over a period of time rather than a single updated invoice, send a statement.
- Select + New.
- Select Statement.
- Choose the Customer and the Statement type.
- Select the Start date and End date.
- Select Apply to preview, and then select Send if it looks correct.
