How Do I Restore a QuickBooks Online Backup?
QuickBooks Online automatically backs up your data on secure cloud servers, but there isn’t a feature to manually restore a company file to a previous state. If you need to recover data, you can use the following options depending on your situation:
Restore a deleted company
If you accidentally canceled your subscription or deleted your company file, we may be able to restore it.
- Go to the QuickBooks Online sign-in page.
- Select I forgot my user ID or password (if you don’t have your login info).
- If you can’t see your company on the list, select Restore a deleted company at the bottom of the screen.
- Follow the prompts to reactivate your account.
Export your data
Since you cannot upload a backup file to overwrite your current data, the standard way to save your financial information is by exporting it.
Export lists to Excel:
- Go to Settings (the Gear icon) and select Export Data.
- Toggle to the Lists tab.
- Select the lists you want to export and choose Export to Excel.
Export reports and transaction data:
- Open the specific report you need.
- Select the Export icon (usually at the top right) and choose Export to Excel or Export to PDF.
Use the Audit Log
If you need to track down changes or lost entries, the Audit Log keeps a record of all activity.
- Go to Settings and select Audit Log.
- Use the filters to locate specific users, dates, or events.
Work with an accountant
For complex data recovery or historical reviews, we recommend inviting an accountant. They can review your data, help correct errors, or guide you through exporting your General Ledger and other critical reports.
Note: Third-party apps available in the QuickBooks App Store may offer additional backup or export tools. We recommend reviewing the app’s details carefully to ensure it meets your specific needs.
