Why does QuickBooks print instead of fax when I select the fax option?
QuickBooks Online is a cloud-based application and does not have a built-in feature to send faxes directly from the program. When you select a “fax” option from the print menu, you are actually selecting a printer driver installed on your local computer or network (such as a multifunction printer with fax capabilities).
If the document prints instead of faxing, or if the option no longer works as expected, the issue lies with the settings or drivers on your computer, not within QuickBooks Online.
To resolve this, check the following:
- Verify the Printer Selection: When you click Print or Preview in QuickBooks Online, look at the “Destination” or “Printer” settings in your browser’s print dialog. Ensure the correct fax device or multifunction printer is selected, rather than a standard printer.
- Update Device Drivers: If you are using a multifunction printer (like an Epson) that includes a fax function, ensure the latest drivers are installed on your computer. You can usually find these on the manufacturer’s website.
- Check Windows Settings: Since QuickBooks Online relies on your operating system to handle external devices, ensure the fax service is enabled and configured correctly in your Windows system settings.
If you need to send invoices or other forms via fax, you may also consider using a third-party fax service that integrates with QuickBooks Online via the Apps menu.
