How to Manually Add Square Information
To manually add Square transactions in QuickBooks Online, you have two options: importing a CSV file or entering transactions individually.
Import Square transactions as a CSV file
If you need to bring in historical data, you can export your sales from Square and upload them to QuickBooks.

Export from Square:
- Sign in to your Square account.
- Locate the sales data you want to export.
- Select the option to download or export the data.
- Ensure the file format is CSV and choose your desired date range.

Import into QuickBooks Online:
- Select the Settings gear icon.
- Select Import Data.
- Choose Bank Data.
- Follow the onscreen instructions to upload your CSV file and map the columns to match QuickBooks fields.
Manually enter individual transactions
If you prefer to record sales one by one, or if you are just starting out:
- Select the + New button.
- Select Journal entry (for accounting adjustments) or Deposit (if recording a lump sum deposit).
- Note: If you are recording a specific sale, you may also use Sales Receipt or Invoice depending on how you received payment.
- Fill in the necessary details, such as the date, amount, and category (or account).
- Select Save and close.
Tip: For the most accurate and up-to-date record keeping, we recommend connecting your Square account to QuickBooks Online via the Apps menu. This automates the import process and reduces manual entry errors.
