How to Move Names Between Lists
In QuickBooks Online, a single name cannot be both a Customer and a Supplier. Because the system does not allow duplicate names on these lists, you must move the transactions from one list to the other.
We recommend following these steps to convert a Customer to a Supplier (or vice versa):
-
Create a new name
- Go to the Settings (gear icon) and select All Lists.
- Choose Customers or Suppliers depending on which type you want to create.
- Select New to add the name.
- Important: Enter a name slightly different from the original (e.g., add a number or a dash like “John Doe-1”) because QuickBooks Online will not allow the exact same name to exist on both lists.
-
Run a transaction report
- Go to the Reports menu.
- Search for and open the Transaction List by Customer (if converting a Customer) or Transaction List by Supplier (if converting a Vendor).
- Filter the report to show only the specific name you are changing.
-
Reassign the transactions
- Open each transaction listed in the report one by one.
- In the name field, select the new name you created in step 1.
- Save the transaction.
-
Clean up
- Once all transactions are moved to the new name, make the original name inactive.
- Go to the Settings (gear icon) and select All Lists.
- Select Customers or Suppliers.
- Click the checkbox next to the old name, then select the Make inactive (batch actions) button.
- If you want the new entry to use the original name, you can now edit the new name and remove the number or dash you added in step 1.
- Once all transactions are moved to the new name, make the original name inactive.
