Multiple companies or same company listed more than once
If you see the same company listed multiple times when you sign in to QuickBooks Online, it is usually due to one of the following reasons:
- Multiple Users: One login (user ID) was used to create multiple user accounts for the same company.
- Multiple Companies: The same login has access to more than one company file.
- Duplicate Setup: The same company was accidentally created more than once.
Identifying the cause
When you are on the company selection screen, look at the User Name column. This helps determine why you are seeing duplicates:
- If the User Names are different: The login you are using has access to multiple users within the company. This happens when a single user ID was used to invite several people (e.g., an accountant and a business owner) instead of having them create their own individual Intuit accounts.
- If the User Names are the same: The company file may have been set up twice, or you are seeing a test company alongside your active data.
Resolving the issue
If you see multiple users under one login
We recommend each user have their own unique login credentials for security and access tracking.
- Sign in to QuickBooks Online.
- Select the Settings gear icon, then Manage Users.
- Find the user who needs their own login and select Edit.
- In the user settings window, select the link to resend the invite (or note their email address).
- Have the user accept the invite using their own email address. This will prompt them to create their own unique user ID and password, separating their access from yours.
If you see a duplicate company
If the User Name is identical and you are certain the company is a duplicate (for example, a test file you no longer need), you can cancel the subscription for the unwanted file.
- Sign in to accounts.intuit.com using your login credentials.
- Find the company you want to remove.
- Select Edit (or the pencil icon) in the Status or Action column.
- Choose Cancel (or Resume if you want to reactivate a past subscription) and follow the prompts to confirm.
Note: You must be the Master Admin or primary contact to manage users or cancel subscriptions.
