Set up alignment for 1099 Tax Forms

To align your 1099 forms correctly in QuickBooks Online, follow these steps to print a test sample and adjust the settings as needed.

  1. Start the 1099 workflow

    • Select Vendors (or Expenses) in the left navigation menu.
    • Select Prepare 1099s.
    • Click Print using purchased forms at the bottom of the screen.
  2. Print a test sample

    • Set the Vertical and Horizontal alignment fields to 0.
    • Click Print Sample 1099.
    • Note: Load plain paper into your printer for this test. Hold the printed sample up against a pre-printed 1099 form against a light source to check alignment.
  3. Adjust printer settings (Adobe Reader) If the alignment is off, check your printer driver settings (usually accessed via the Printer or Properties button in the print window) and ensure the following:

    • Page Scaling: Set to None (or “Actual Size”).
    • Auto-Rotate and Center: Uncheck this box.
    • Choose Paper Source by PDF page size: Check this box.
  4. Fine-tune the alignment

    • If the text is still misaligned after adjusting the printer settings, click Finish to return to the main 1099 screen.
    • Click Print using purchased forms again.
    • Adjust the Vertical and Horizontal fields:
      • Vertical: Enter a positive number to move text down or a negative number to move it up.
      • Horizontal: Enter a positive number to move text right or a negative number to move it left.
    • Click Print Sample 1099 to test the new settings.
    • Repeat these adjustments until the text aligns perfectly with your pre-printed forms.

Once aligned, load your pre-printed 1099 forms and print the final copies.
