How do you connect Square to QuickBooks Online?

Square connects to QuickBooks Online through a connector app that Intuit publishes in its own marketplace, currently listed as Connect to Square. Once linked, it pulls your sales, fees, and deposits across on a schedule, so nothing has to be keyed in twice.

The connector has carried several names over the years, including Sync with Square and Square by QuickBooks Commerce. If the current name does not appear, search for Square in the Apps menu and Intuit’s listing will show.

What does the app import?

Each day’s activity arrives as summarized entries rather than one record per card swipe. That keeps the bookkeeping light, but it means the integration tracks totals rather than individual items sold.

Square’s processing fees post separately as an expense. That separation matters, because Square deducts fees before the money reaches your bank, and the imported totals are meant to match the deposit that actually lands. Reconciliation then becomes matching rather than re-entry.

Connect the two accounts

  1. Sign in to QuickBooks Online as a company administrator; only admins can install apps.
  2. Open the Apps area from the left menu, or through Settings if your layout differs.
  3. Search for Square and select the Connect to Square listing published by Intuit.
  4. Choose the option to get the app, then sign in with your Square credentials and authorize the connection.
  5. Set your preferences, including the accounts transactions map to and how far back the import reaches, then confirm to finish.

The listing page shows current plan details and pricing before you authorize anything. Pricing on Intuit’s marketplace is Intuit’s to set and change.

Who supports the connector?

The connector is Intuit’s product, so its setup guide, sync behavior, and error codes live on Intuit’s side. The listing in Intuit’s app marketplace carries the current documentation and support details, and the Apps menu in QuickBooks Online links to the same place.

Errors thrown by the app itself belong with Intuit’s support channel. No one outside Intuit, and that includes us, can see or restart that connection on their servers.

A summarized import suits most small sellers. If you need item-level detail in QuickBooks, or you sell across several channels, the connector may feel thin. Exporting from Square and importing the records yourself, or using a third-party connector, are the usual alternatives.
