How to Transfer Chart of Accounts and Lists to a New QuickBooks Online Company
To move your Chart of Accounts and lists (like Customers and Vendors) to a new QuickBooks Online company, you can export the data from your existing company and import it into the new one.
Note: We recommend exporting lists individually to ensure the data formats correctly during import.
Step 1: Export your lists
- Go to Settings (the Gear icon) and select Export Data.
- On the Lists tab, select the type of list you want to move (e.g., Customer List, Vendor List, or Chart of Accounts).
- Toggle the switch to On.
- Select Export to Excel.
- Save the file to your computer.
Step 2: Import your lists
- Sign in to your new QuickBooks Online company.
- Go to Settings (the Gear icon) and select Import Data.
- Select the type of data you are importing (e.g., Customers, Vendors, or Chart of Accounts).
- Click Browse to upload the Excel file you saved in Step 1, then select Open.
- Map your fields:
- QuickBooks Online attempts to match your file headers automatically. Review the mapping on the Map your data screen.
- If a field shows “No match,” use the dropdown to select the correct column in your Excel file.
- Select Import.
Tips for a smooth import
- Chart of Accounts: Ensure the account types (e.g., Asset, Liability, Income) in your Excel file match QuickBooks Online account types.
- Duplicates: QuickBooks Online checks for duplicates based on names. If an entry in your file matches an existing entry, you may be prompted to update the existing record or add it as new.
- Data Limits: Some lists have import limits. If your file is very large, you may need to split it into smaller batches.
