Vendor With Zero Balance on AP Aging Summary Has No Bills or Credits
If a vendor appears on your Accounts Payable (AP) Aging Summary report with a zero balance, but no bills or credits appear in the Pay Bills window, the issue is usually caused by one of two scenarios: the transaction was recorded using a Journal Entry, or the transaction is linked to an inactive Accounts Payable account.
Here is how to resolve this in QuickBooks Online:
1. Check for Journal Entries
The AP Aging Summary includes any transaction affecting a vendor’s balance, even if it was entered via a Journal Entry rather than a standard Bill or Vendor Credit. Transactions entered this way will not appear in the Pay Bills center.
- Go to the Reports menu.
- Search for and open the Transaction List by Vendor report.
- Set the date range to All Dates.
- Filter the report by the specific vendor name.
- Review the Type column. If you see Journal Entry, this is why the vendor does not appear in Pay Bills.
To fix this: We recommend deleting the Journal Entry and re-entering the transaction correctly using a Bill or Vendor Credit. This ensures the transaction flows properly through the Pay Bills feature.
2. Check for Multiple or Inactive AP Accounts
If you have more than one Accounts Payable account in your Chart of Accounts, the Pay Bills window defaults to the primary AP account. If the transaction was posted to a secondary AP account (especially one marked as inactive), it will not appear in the Pay Bills list.
- Go to Settings (gear icon) and select Chart of Accounts.
- Locate the Accounts Payable account used in the Journal Entry or transaction.
- Review the Action column. If you see a “Make active” link, the account is currently inactive. Click Make active.
- Return to the Pay Bills window. Click the Filter or Accounts Payable Account dropdown (if visible) and select the correct AP account to view the bills.
3. Clean Up Unused AP Accounts
If you have multiple Accounts Payable accounts that should not be used (for example, accounts named “Do Not Use”), you should merge them into your main AP account to prevent future confusion.
- Go to Settings and select Chart of Accounts.
- Note the exact name, spelling, and type of your primary, active Accounts Payable account.
- Click Edit next to the unwanted AP account.
- Change the account name to match the primary AP account exactly.
- Click Save and Close.
- When prompted, confirm that you want to merge the accounts.
This moves all transactions to the correct account and removes the duplicate entry.
