Visual Guide to Export
If you need to move your data out of QuickBooks Online, you can export it to a desktop file. This is useful if you are switching to QuickBooks Desktop or need a local copy of your records.
Before you begin
- You must be a company admin to perform an export.
- Exporting is a one-time snapshot. It does not sync changes made after the export.
- Once you start the export, do not close your browser window until it finishes.
To export your data:
- Select the Settings gear icon.
- Select Export Data.
- Review the information on the Learn about the export process screen, then select Get Started.
- On the Prepare for export screen, select Continue.
- Choose the data you want to export:
- Custom: Select specific lists and data to include.
- All data: Exports all available lists and transactions.
- Select Continue.
- Review the Export overview to understand any limitations or changes to your data format. Select Continue.
- Enter your email address to receive a download link, then select Export.
- When the export is complete, select the Download link provided on the screen or check your email for the link.
The downloaded file will be in a format compatible with QuickBooks Desktop (usually a .QBX or .QBW file). If you plan to import this file into QuickBooks Desktop, ensure you have the correct version installed, as you cannot import an Online export file back into QuickBooks Online.
