Why don't transactions appear when clicking accounts in Chart of Accounts?
In QuickBooks Online, not every account in the Chart of Accounts opens a transaction register. You will only see a register for accounts that track a running balance over time.
These are typically balance sheet accounts, such as:
- Bank and credit card accounts
- Asset accounts (like current assets or fixed assets)
- Liability accounts (like loans and notes payable)
- Equity accounts (such as owner’s equity and opening balance equity)
If you click on an income, expense, or cost of goods sold (COGS) account in the Chart of Accounts, you will not see a register. Instead, QuickBooks Online opens a QuickReport. These accounts track totals for a specific period rather than a running historical balance, so they do not have a register view.
Why the QuickReport might be empty
If the QuickReport appears blank, it is usually due to the date range. By default, reports often display data only for the current fiscal year or a recent period.
- To see all transactions, change the report date range to all.
- Ensure the transactions you are looking for were actually posted within the selected dates.
Note on Retained Earnings
The retained earnings account is a special equity account that holds your net profit or loss from previous years. Because it is a calculated total, it does not have a register for entering or viewing individual transactions. To see the activity that makes up the retained earnings balance, run a prior year comparison report or a balance sheet detail report.
Where to go next
If you need to view individual transactions for an income or expense account, use the QuickReport and adjust the date range as needed. For accounts that do not have a register, this is the intended behavior in QuickBooks Online, not a data problem.
