Why is there detail and a check number already in the Check screen?
Two automatic features are at work when the Check screen opens already holding a number and some details. QuickBooks Online suggests the next check number on its own, and the auto-recall setting copies the rest from the last transaction you saved for that payee.
The automatic check number
QuickBooks Online tracks the last check number used on a bank account and proposes the next one whenever you start a new check. The number appears as soon as you choose the account, before you have typed anything.
There is no setting that switches this off. Treat the suggestion as a default: overwrite it whenever you need to, and the sequence continues from whatever you save.
Printing follows the same idea. When you print a batch of checks, the print window asks for the first check number in the stack, and the checks are numbered in order from there.
If the suggestion looks wrong, which can happen after imported or converted data, type the correct number and save. The next check picks up from your entry, not the old suggestion.
Auto-recall fills the details
The account, amount, and memo that appear before you type come from auto-recall. When you select a name on a check, QuickBooks Online copies those fields from the last transaction saved for that name.
The copy is a starting point. Every field stays editable, and nothing is recorded until you save.
The same setting covers other forms as well, including expenses, bills, and invoices. Wherever it is on, the form mirrors your most recent transaction for that vendor or customer, not what you intend today.
Can you turn auto-recall off?
Yes. The setting sits in your company’s account settings, and a user with administrator rights can change it:
- Open Settings, the gear icon in the top right.
- Select Account and Settings.
- Open the Advanced tab.
- In the Automation section, select the pencil to edit.
- Clear the option to pre-fill forms with previously entered content.
- Select Save, then Done.
The exact wording of the option has shifted between releases, so look for the recall or pre-fill choice under Automation. Turning it off stops future pre-fills only; transactions already saved keep their details, and the check number suggestion is unaffected.
Is anything already recorded?
No. A new check with pre-filled fields is still an unsaved transaction. Close the window without saving and nothing posts, no entry hits the register, and no money moves.
The worry is understandable, because a filled-in form looks finished. Review the amount and the category before you save, especially on payees whose amounts change from month to month.
Keep auto-recall for repeating payments
Auto-recall earns its keep on fixed, repeating checks such as rent, loan payments, and insurance. The account, memo, and amount carry over, so you approve rather than retype.
Where amounts change often, the convenience cuts the other way, and switching the feature off is a reasonable choice. The check number suggestion can stay as it is: a default, not a commitment, and overwriting it once resets the sequence from your entry.
