Why won't my vendor's 1099 for 2013 print?
If a vendor isn’t appearing on your 1099 forms, use the following checklist to troubleshoot the issue in QuickBooks Online:
- Verify the vendor is eligible: Go to the Expenses menu and select Vendors. Open the specific vendor’s profile and click Edit. Ensure the Track payments for 1099 checkbox is selected. This is the most common reason a vendor is missing.
- Check the tax ID and name: While in the vendor profile, confirm that the Tax ID (EIN or SSN) and the legal Name are entered correctly. Missing or invalid tax IDs can prevent the form from generating.
- Review account mapping: Go to Settings (gear icon) and select Tax Settings or 1099 settings. In the Mapping section, ensure the bank or credit card accounts you used to pay this vendor are mapped to the correct 1099 boxes (typically Box 7 for Non-employee Compensation). If the account used for the payment isn’t mapped here, the amount won’t be included.
- Confirm payment dates and amounts: QuickBooks only includes payments dated within the specific tax year. Check the vendor’s profile or the Expenses list to ensure payments were made in the correct year and that the total meets the minimum reporting threshold.
- Review excluded payments: In the Prepare 1099s workflow, use the Review excluded payments link. If the payments are listed there, it means they were paid via a method that is excluded (such as a credit card, debit card, or PayPal) or paid to an unlinked vendor. These payments are typically reported by the payment processor, not by you.
- Preview the 1099: Run the Preview your 1099 report. This shows you exactly which payments are being calculated. If the vendor is still missing, double-check that the transaction type (Expense, Check, or Bill) is eligible for 1099 reporting.
