The first thing we’ll check is if your server is acting as a Host.

Note: Microsoft® Windows® administrator permissions are required to change hosting modes. Here’s how.

Host multi-user access:

  1. Open QuickBooks.
  2. If you are prompted to update your company file, update your file to the new version.
  3. Go to the File menu, click Utilities, and then click Host Multi-User Access.
  4. If you see Stop Hosting Multi-User Access, then your server is already hosting multi-user access. You can continue to the next step. However, if you see this in a workstation computer, click Stop Hosting Multi-User Access, and follow through the prompt.

Then, let’s re-check the permissions to share a company file.

The specific QBDataServiceUser for your version of QuickBooks needs Full Control access to the folder containing your QuickBooks company file.

After, use the QuickBooks Database Server Manager to scan company files:

  1. On the computer where the company file is located, go to the Start button, click Programs, click QuickBooks, and then click QuickBooks Database Server Manager.
  2. Click the Scan Folders tab.
  3. Click the Add Folder button.
  4. Select the folder that contains your company files and then click OK. Click Add Folder again to add additional folders. (If you’re not sure where your files are stored, select the entire disk to scan all folders.)
  5. Click the Scan button to begin the scan.
  6. Once the scan is Complete, click Close.

Lastly, have other users login to the company file:

  1. Open QuickBooks on another computer on your network.
  2. Open the company file and log in. Be sure to browse to the computer where the company file is stored when you open the company file.
