Is Client Data Review available in QuickBooks Online?
Client Data Review, as it exists in QuickBooks Desktop, is not available in QuickBooks Online. If you use QuickBooks Online Accountant, however, several tools cover the most common review tasks. They live under the client review or bookkeeping tools area of your accountant account, and they cover reclassification, write-offs, and reconciliation reversals.
What replaces Client Data Review in QuickBooks Online?
QuickBooks Online Accountant includes a set of tools built for reviewing and correcting client books. The main ones are:
- Reclassify transactions: move many transactions from one account or class to another in a single action, instead of editing them one at a time.
- Batch write off invoices: mark multiple uncollectible invoices as bad debt at once, which is useful at year end or during a cleanup.
- Undo a bank reconciliation: reverse a completed reconciliation so it can be redone, without manually unreconciling each transaction.
A plain QuickBooks Online subscription does not include these tools. If you are a business owner working in your own company file, you can still reclassify or write off transactions, but you must do it manually or one at a time. Your accountant, working through QuickBooks Online Accountant, can apply the batch tools to your books on your behalf.
How does the reclassify transactions tool work?
The tool lists transactions that match filters you set, such as an account, a date range, or a transaction type. You review the list, select the entries that belong elsewhere, and choose the correct account or class to move them to. QuickBooks then changes all the selected transactions at once.
This is the closest equivalent to the account-matching and reclassification checks in Desktop’s Client Data Review. It works on already-recorded transactions, so it is best used after a review pass rather than during initial data entry. Run the relevant reports first, note what needs to move, then reclassify in one batch.
Can you write off multiple invoices at once?
Yes, in QuickBooks Online Accountant. The write-off tool lets you select a group of overdue invoices and write them off together, applying a bad debt account and date to each one. QuickBooks creates the necessary credit memos behind the scenes.
Without the accountant tools, writing off bad debt in QuickBooks Online is a manual process: create a credit memo for each invoice, apply it to that invoice, and make sure the credit memo posts to your bad debt expense account. For a handful of invoices this is manageable. For dozens, it is the kind of task worth handing to an accountant with access to the batch tool.
How do you undo a bank reconciliation?
In QuickBooks Online Accountant, the undo reconciliation tool reverses a completed reconciliation for a chosen account and period. Every transaction in that reconciliation returns to an unreconciled state, and the month can then be reconciled again with corrected figures.
Standard QuickBooks Online users do not have an undo button. If a reconciliation was done incorrectly, the options are to unreconcile transactions individually from the register or the reconcile screen, or to ask an accountant with a QuickBooks Online Accountant login to undo the month. The second route is far faster when a whole month needs redoing.
What about older transactions and data cleanup?
A common reason firms look for Client Data Review is a cleanup: books with months of unreviewed entries, misclassified accounts, and stale reconciliations. QuickBooks Online Accountant’s tools address the correction side of that work. The data-entry side is separate.
If you are setting up a new QuickBooks Online company and need transactions older than the bank feed window, which is usually about 90 days, there are two routes. You can enter the older transactions manually, or you can download a file from your bank’s website, typically CSV or QBO format, and import it through the import option under the Settings menu. Not every bank offers downloads for older date ranges, so check there before planning a manual entry effort.
Where do these tools leave a Desktop user?
If you are moving from QuickBooks Desktop to QuickBooks Online, expect a change in workflow rather than a loss of capability. Desktop’s Client Data Review gathers many checks into one screen. QuickBooks Online splits the equivalent work across the accountant tools described above, plus its standard reports.
The reports do much of the diagnostic work. The Audit Log shows who changed what and when. The Reconciliation Discrepancy report flags changes to previously reconciled transactions. The Deposit Detail report, customized to show the payment method column, breaks down receipts by how customers paid. Reviewing these first tells you which of the batch tools, if any, you need.
For anything that depends on your subscription level or account settings, Intuit’s own support channel can confirm what your account includes. E-Tech does not have access to your QuickBooks Online account, and we do not manage subscriptions or billing. Where a cleanup or conversion goes beyond the built-in tools, that is the kind of work we handle directly.
