Restoring and moving your company data
We understand that moving your company file to a new computer or restoring it from a backup is a critical task. Because QuickBooks Online is a cloud-based service, we handle data storage and backups for you automatically. You do not need to create manual backup files (.qbb) or restore them in the traditional sense.
However, if you are transitioning from a QuickBooks Desktop product or looking to manage your data, here is the essential guidance for QuickBooks Online.
Moving data from QuickBooks Desktop
If you are moving from QuickBooks Pro, Premier, or Enterprise to QuickBooks Online, the process involves importing your data rather than restoring a backup file.
- Import your data: We provide a direct import tool to move your lists and balances from Desktop to Online. This is the standard method for switching to the cloud.
- Version compatibility: Generally, you can import data from Desktop versions that are up to three years old. If you are using a much older version (for example, Pro 2002), the import tool may not support it directly. In this case, we recommend consulting a Certified ProAdvisor to help update your file incrementally or to determine if starting fresh is a better option for your business.
- Regional versions: You cannot move data directly between different regional versions (for example, from a UK version to a US version). Tax structures and compliance features differ significantly between regions, so you will likely need to start a new file in the correct region.
Managing data in QuickBooks Online
In QuickBooks Online, your data is securely stored in the cloud. This changes how you handle “backups” and data corrections.
Automatic backups
We automatically back up your data every day. You do not need to manually create backup files or save them to your local hard drive. If you accidentally delete something, you can often audit the changes or contact support to request a restoration of your data to a previous point in time.
Removing downloaded bank transactions
If you have downloaded bank transactions that you want to remove without restoring a backup, you can manage this directly in the Banking menu.
- Go to the Banking or Transactions menu.
- Select the Banking tab (or For review).
- Put a checkmark next to the transactions you want to remove.
- Select the Batch actions button and choose Exclude (or Delete if available in your view).
This removes the transactions from your list so they do not affect your books.
Working with your accountant
If you are collaborating with an accountant, you do not need to send physical backup files or Accountant’s Copy files (.qby or .qbx) as you did in Desktop.
- Invite your accountant directly to your QuickBooks Online company.
- They can review and edit your data in real-time.
- This eliminates the need to send files back and forth or worry about file restrictions and passwords.
Data security and access
Since your data lives online, access is controlled by your user credentials.
- Passwords: You do not need a separate password to open a “backup.” Your sign-in credentials (email and password) are the key to accessing your entire company file.
- Read-only issues: You will not encounter “read-only” file errors due to file permissions or virtual drives, as all file management is handled by our secure servers.
