Why your QuickBooks balance doesn’t match your bank balance
It is common for the balance in QuickBooks Online to differ from the balance on your bank’s website. This does not necessarily mean there is an error in your books. QuickBooks acts as your checkbook register, tracking transactions immediately, while your bank only shows transactions that have officially cleared.
Here are the main reasons why these balances differ and how to verify your numbers.
Timing differences and outstanding items
The most common reason for a mismatch is timing. QuickBooks reflects your “current available balance,” while the bank reflects the “cleared balance.”
- Outstanding checks: When you write a check, QuickBooks deducts the amount immediately. However, the bank does not deduct it until the recipient cashes it. If you have several outstanding checks, your QuickBooks balance will be lower than your bank balance.
- Deposits in transit: If you record a deposit in QuickBooks but haven’t taken it to the bank yet, or if the bank is still processing it, your QuickBooks balance will be higher than the bank balance.
- Bank fees and interest: Your bank may charge fees or pay interest that you have not yet recorded in QuickBooks.
Post-dated checks
If you print post-dated checks, QuickBooks records the expense and reduces your balance on the date you print the check. This may make it look like you have an overdraft.
- In the bank register, a blue line separates today’s date from future dates.
- The balance shown for today reflects your actual funds.
- The “Ending Balance” reflects the future, after those post-dated checks clear. As long as you make deposits before those future dates, your actual balance will be sufficient.
How to verify your balances
To ensure your records are accurate, you should compare your QuickBooks balance to your bank statement, not the real-time bank website balance.
Reconcile your accounts
Reconciliation is the process of matching your QuickBooks records to your bank statement. When you finish a reconciliation, your difference should be zero. This confirms that the transactions in QuickBooks match exactly what the bank has processed.
Run a Transaction Detail by Account report
If you need to see a total of cleared or uncleared items to compare against the bank, you can use the Transaction Detail by Account report. This is useful if the standard register view does not provide the totals you need.
- Go to Reports and search for Transaction Detail by Account.
- Select the account you want to review (e.g., your checking or credit card account).
- Click Customize.
- Under Filter, locate the Cleared status.
- Select the status you wish to view (Cleared, Uncleared, or Reconciled).
- Click Run report.
This report totals the specific items you need to verify against your bank records.
Printing a monthly summary
If you need a physical report showing your opening balance, income received, expenses paid, and ending balance for the month, you can print directly from the account register.
- Go to Settings (the gear icon) and select Chart of Accounts.
- Locate the account (e.g., Checking) and click View register (sometimes labeled Account history).
- Click the Printer icon or select Print list.
- Enter the specific date range for the month you need.
- Print the report.
