QuickBooks Online columns, reports, and forms
QuickBooks Online decides which columns appear on reports, forms, and list views. You can change some of those columns, but not all of them. This page covers the common column and report tasks: exporting numeric report data to Excel, hiding the Service Date on estimates, list view layouts, and display problems.
Export report columns to Excel as numbers
When you export a report to Excel, the Amount column sometimes arrives as text. Excel will not calculate the column until the cells are converted.
- Open the exported report.
- Select the cells in the Amount column that you want to fix.
- Click the yellow warning icon beside the selection.
- Choose Convert to Number.
Excel applies the conversion to every selected cell at once. If you need more detail, choose Help on this error in the same menu.
Hide the Service Date column on estimates
If your estimates do not use the Service Date, you can hide that column on the form. QuickBooks Online offers two ways to do it.
Option 1: custom form styles
- Choose the Settings gear and select Custom form styles.
- Locate the estimate template, usually Default, and choose Edit.
- On the Content tab, scroll to the Table section.
- Clear the Service date checkbox.
- Choose Done.
Option 2: account and settings
- Choose the Settings gear and select Account and settings.
- Open the Sales tab.
- Scroll to Sales form content.
- Clear the Service date checkbox.
- Choose Save.
Both paths change the same setting. Use whichever one is easier to find.
List view columns
QuickBooks Online does not let you save a custom column layout for list views. The columns shown are the system defaults.
If you want saved custom layouts, send feedback to Intuit:
- Open the Settings gear and choose Feedback.
- State that you want to save custom list view column layouts.
- Submit the suggestion.
The request goes to Intuit’s product team. E-Tech does not control which features QuickBooks Online adds or removes.
Calculate totals for selected report rows
Standard reports show totals at the bottom. There is no built-in Auto-Sum in the browser version of QuickBooks Online. If you need to total a specific set of rows, export the report and use Excel’s AutoSum tool or the =SUM() formula on the rows you need.
Fix columns that display incorrectly
When a column is missing, in the wrong place, or shows data oddly, start with the browser.
- Sign out of QuickBooks Online and sign back in.
- Refresh the browser page.
- Clear the browser cache and cookies.
- Update the browser.
Most column display issues are caused by a cached page. If the problem continues, use the Help menu inside QuickBooks Online to contact Intuit support. Account-level display problems are in Intuit’s control.
QuickBooks Online maintains the data service automatically, so data integrity problems are rare. There is no Rebuild or Verify utility in QuickBooks Online. That utility is part of QuickBooks Desktop.
