Restore or recover deleted data in QuickBooks Online
If you accidentally deleted a list item or transaction, or if data seems to be missing, here is how to handle it.
Restore deleted list items (Customers, Vendors, Classes)
Most list items (such as customers, vendors, and classes) are not permanently deleted immediately. Instead, they are made “inactive.” You can usually restore them by making them active again.
To restore a customer or vendor:
- Go to the Sales or Expenses menu (depending on if you need a customer or vendor).
- Select Customers or Vendors at the top left.
- Click the Gear icon above the Action column.
- Check the box for Include inactive.
- Find the name you want to restore.
- Click Make active.
To restore a class:
- Go to the Settings (Gear icon) and select All Lists.
- Choose Classes.
- Click the Gear icon (or the “Run” icon/widget) to the right of the list header.
- Check Include inactive.
- Find the class and click Make active.
Deleted transactions
Currently, there is no way to “undelete” a transaction once it has been deleted. This includes invoices, bills, and checks. You will need to manually re-enter the transaction.

Troubleshooting missing data
If data has disappeared but you don’t believe it was deleted, try these steps to resolve potential browser display issues.
Recurring transactions are missing
Sometimes, browser cache issues can prevent recurring templates from appearing correctly.
- Clear your browser cache and cookies.
- Try a different supported browser (such as Chrome, Firefox, or Edge) to see if the issue persists.
Old transactions appearing on the Bank Deposit screen
If you see very old transactions cluttering your Bank Deposit screen, you can exclude them so they no longer appear.
- Go to the Transactions menu.
- Select Banking.
- Check the box next to the date of the old transactions you want to remove.
- Click Batch actions.
- Select Exclude selected.
Hiding inactive bank accounts
If you want to remove an inactive bank account from your dashboard or home screen, you can disconnect it.
- Go to the Settings (Gear icon) and select Chart of Accounts.
- Locate the bank account.
- Click the View register (or arrow) drop-down and select Edit.
- Check the box for Disconnect this account on save.
- Click Save and close.
Note: Once disconnected, the account will no longer appear on the home screen and will no longer download bank transactions.
Error deleting a vendor or employee
If you receive the error “This vendor or employee cannot be deleted because it is associated with a time tracking user,” our engineers are aware of this issue. We are actively working to determine the root cause. Thank you for your patience while we work on a resolution.
