Navigating the QuickBooks Online Interface
QuickBooks Online (QBO) uses a streamlined interface to help you manage your business finances. Below is a guide to key icons, menus, and navigation features to help you find what you need quickly.
The Settings (Gear) Icon
The Gear icon is your primary control center in QuickBooks Online. It is located in the upper-right corner of the screen, next to your company name.
Clicking the Gear icon gives you access to lists and settings, similar to the “Preferences” menu in older desktop software. Key features found here include:
- Account and Settings: Where you can edit company details (such as your company name), manage subscriptions, and configure sales and expenses settings.
- Lists: Access your Chart of Accounts, Products and Services, and Recurring Transactions.
- Tools: Perform Bank Reconciliations, view the Audit Log, import data, or manage users.
- Profile: Sign out of your account or switch companies.
Using the Search Feature
If you cannot locate a transaction or a specific window, use the Search icon (magnifying glass) at the top of the screen.
- Basic Search: Click the magnifying glass and type a keyword (e.g., “Journal Entry,” “Invoice,” or a customer name).
- Advanced Search: For more specific results, click the magnifying glass, then select Advanced Search. You can filter by transaction type, date, or specific status. This is particularly useful if a Journal Entry does not appear in the register where you expected it; searching allows you to verify which accounts the entry was posted to.
Managing Company Information
You can update your business details directly from the Gear menu or the header.
- Click the Gear icon.
- Select Account and Settings (or Your Account).
- Click the Company or Contact Info tab on the left.
- Click the Pencil icon (edit) next to the company name or legal information to make corrections.
Handling Icons and Browser Issues
If icons or buttons are missing, greyed out, or not responding, it is often due to how the web page is loading in your browser.
- Greyed-out Buttons: Ensure you have the correct context open. For example, options for handling bounced checks are only available when a specific payment transaction is open on the screen.
- Missing Icons or Display Errors: If a page looks incorrect or an icon won’t load, clear your browser’s cache and history.

Ctrl+Shift+Delete(Windows) orCmd+Shift+Delete(Mac). - Ensure you select “the beginning of time” or “All time” to clear all data, then close and restart your browser.

User Access and Modes
QuickBooks Online is designed for multi-user collaboration, allowing multiple users to work in the company file simultaneously.
- User Management: You can invite new users or manage permissions by going to the Gear icon > Manage Users.
- Multi-user Mode: Unlike desktop versions, QuickBooks Online does not require a manual toggle for “Single User” vs. “Multi User” mode. If users are unable to access the file simultaneously, ensure they are logged in with their own unique user credentials. If you see a message stating the file is in single-user mode, ensure all users have logged out and logged back in to refresh the session.
