Troubleshooting common QuickBooks Online issues
We understand that sometimes things don’t work exactly as expected. Here are solutions and guidance for some common questions regarding performance, customization, payments, and data management.
Browser performance and login issues
If your QuickBooks Online home page does not load after logging in, or if the application seems sluggish, the issue is often related to your browser storing old data.
- Try a different browser: We recommend using Google Chrome for the best experience with QuickBooks Online.
- Clear cache and cookies: Browsers sometimes hold onto outdated information that can cause the site to behave strangely. Clearing your cache forces the browser to download fresh data.
- After clearing the cache, be sure to close the browser window completely and reopen it before logging in again.
Customizing forms and fields
QuickBooks Online offers different capabilities than QuickBooks Desktop. While you can customize many forms, there are specific limitations to be aware of.
- Default fields: You cannot rename the default fields in QuickBooks Online because they are programmed into the database. However, you can often use these default fields for data specific to your needs, even if the label remains standard.
- Deleting forms: If you created a form inadvertently, you may be limited in your ability to delete it depending on the type. We recommend checking the specific transaction list to see if voiding or deleting is an option for that entry.
- Report totals: Some canned reports do not include a “Total By” option or grand totals. This is by design, as totals may not make mathematical sense for every specific report type.
Payments and Payroll
Managing payments and payroll requires specific settings and occasionally updates.
- International credit card payments: Currently, QuickBooks Online payments accept U.S. credit cards only. We are always working on updates based on customer feedback. If this is a feature you need, we encourage you to share your thoughts with our development team:
- Select the Gear icon (or your company name).
- Choose Feedback.
- Click Post your own idea.
- Payroll updates: If you recently installed a payroll update (such as 21504) and believe it is causing issues, we recommend contacting Payroll Support directly. They can review your specific account setup and the update details.
- Visit the Payroll Support contact page.
- Select your product and topic (Account, Payroll, or Taxes).
- Click View Contact info to see the phone number.
Data management and errors
Handling prior data or resolving financial exchange errors can be tricky, but specific steps can help resolve them.
- Financial Exchange errors: If you receive a Financial Exchange error regarding a specific memo (e.g., Memo #415), you can manually mark it as sent to clear the blockage.
- Open the specific memo.
- Look for an option (often labeled “I Want to” or similar actions depending on your view) to Show financial details.
- Check the box that says Mark this document as successfully sent.
- Run the financial exchange again; the error should no longer appear.
- Importing prior year data: If you are trying to move checks from Quicken to an existing QuickBooks company file, you may run into format compatibility issues (QIF vs. IIF). To solve this, you generally need a third-party converter tool that can transform QIF files into IIF files, often allowing you to edit the data in Excel during the process.
