Manage your QuickBooks Online account and settings
We understand that managing your account settings and troubleshooting connectivity issues is essential for keeping your books running smoothly. This guide covers common questions regarding notifications, third-party integrations, accountant access, and system requirements.
Manage text message notifications
If you are receiving unwanted SMS text notifications from QuickBooks Online on your mobile device, you can stop them directly.
- Reply STOP: The quickest way to opt out is to reply to the text message with the word “STOP.” This should prevent further messages from being sent to your number.
- Device Settings: If replying does not resolve the issue, you can turn off notifications for QuickBooks Online within your iPhone’s system settings:
- Go to your iPhone Settings.
- Tap Notifications.
- Locate and tap QuickBooks Online.
- Toggle off Allow Notifications.
Troubleshoot bank feeds (OLSU-1013)
If you encounter an error like OLSU-1013 while connecting your bank feeds, you may need to refresh the connection between your bank and QuickBooks.
- Navigate to Banking: Go to the Banking or Transactions menu (depending on your view) and select Banking.
- Edit the Bank Account: Locate the bank account causing the issue and click the Edit (pencil) icon.
- Disconnect the Account: Select Disconnect or Edit sign-in info to remove the current online banking connection. This does not delete your transaction history; it only stops the automatic download of new transactions.
- Reconnect: Once disconnected, follow the prompts to reconnect the account and sign in with your bank credentials again. This establishes a fresh connection and often resolves sync errors.
Reinstall QuickBooks after a system crash
If your computer crashed and you had to perform a system restore, you can reinstall QuickBooks without purchasing a new subscription.
- Reinstall: As long as your QuickBooks Online subscription is active, you can simply log in to your account at quickbooks.intuit.com or download the mobile app again. You do not need to buy a new license.
- Data Safety: Because QuickBooks Online is cloud-based, your data is stored securely on our servers, not on your local hard drive. Your financial data remains intact and accessible immediately after you log in on the repaired or new computer.
Handle bounced checks
Handling bounced checks in QuickBooks Online requires specific steps to ensure your reports remain accurate. Simply reversing a sales receipt may not reflect the true financial impact.
- Record the Bounce: When a check bounces, the bank effectively reverses the deposit. You should record this by creating a Bank Deposit (or a journal entry depending on your workflow) that posts to an “Bad Debt” or “Bounced Checks” expense account. This offsets the original income.
- Re-charge Fees: If you charge your customer a fee for the bounced check, you can create an Invoice for the fee amount. Use an “Other Charge” item linked to your Bad Debt or income account to track the repayment.
- Consult an Accountant: Because every business handles bad debt differently, we recommend consulting with your accountant to ensure these transactions are recorded correctly for your tax situation.
Integrate third-party apps (Zoho CRM)
QuickBooks Online integrates with many third-party applications, such as Zoho CRM, to help you automate your workflow.
- Find Apps: Visit the QuickBooks App Store to see available integrations.
- Sync Data: Most apps provide detailed instructions on how to sync data (like closed deals) directly into QuickBooks Online, eliminating the need for manual data entry.
- App Support: If you encounter issues specific to the integration (e.g., Zoho CRM not syncing), please visit the app’s specific page on the App Store and click the Support tab. The app developer’s specialized support team can best assist with configuration and troubleshooting.
Grant accountant access
If your accountant cannot access your company file, it may be due to sign-in issues or incorrect portal access.
- Check Invites: Ensure you have sent an invitation to your accountant through the Manage Users tab in your Settings.
- Sign-in Portals: Accountants typically access client files through QuickBooks Online Accountant. If they are having trouble, ask them to ensure they are using the correct sign-in page for their version of the software.
- Browser Troubleshooting: If login issues persist, clearing the browser cache and cookies or trying an incognito/private window often resolves access problems.
