Managing inventory and items in QuickBooks Online
QuickBooks Online offers tools to track the products you sell, but it works differently than other systems. Understanding how to set up items, track stock, and customize forms helps you manage your inventory effectively.
Inventory tracking overview
QuickBooks Online Plus and Advanced support inventory tracking. This feature is designed for businesses that buy and sell finished goods (often described as “buy a widget and sell a widget”).
- Capabilities: Track quantity on hand and value of your inventory.
- Limitations: QBO does not support manufacturing, assembly, or bill of materials. You cannot combine ingredients or raw materials to create a new finished item within the system. If you deal in short-shelf-life items or food preparation, it is often better to expense costs directly to Cost of Goods Sold (COGS) rather than trying to track them as inventory.
Tracking inventory without automation (Periodic method)
If you do not use QBO’s built-in inventory tracking, or if you need to account for odd inventory situations manually, you can use the periodic inventory method. Choose one of the following methods and stick with it; do not mix them.
Method 1: Purchases Account
- Create an asset account called “Purchases.”
- Post all purchases of items for resale to this account.
- Periodically (weekly, monthly, etc.), value the physical inventory on hand.
- Subtract the value of the inventory on hand from the total amount in the Purchases account.
- Create a journal entry for the difference:
- Debit: COGS
- Credit: Purchases
Method 2: Direct COGS
- Post all purchases directly to COGS.
- Periodically (at least at year-end), value the physical inventory on hand.
- Create a journal entry to adjust the books:
- Debit: Inventory Asset (for the value of stock on hand)
- Credit: COGS
Managing item lists and searching
When working with your Product and Services list, the interface is designed to help you find items quickly.
- Instant Search: The list uses instant searching to help locate items as you type. If you experience lag or the search seems “stuck,” it may be related to browser connectivity or network latency. Ensuring a stable internet connection usually resolves this behavior.
- Item Details: You can add images and SKUs to item records. Currently, these fields are for internal reference and organization; they do not automatically populate on invoices or sales forms.
Customizing sales forms and stock warnings
You can customize templates (like Packing Lists or Invoices) using the Custom Form Styles tool. However, it is important to understand the difference between Transaction Types and Templates:
- Transaction Types: These are the actual records you create (Sales Order, Invoice). Creating a Sales Order commits the stock in the system.
- Templates: These control the visual layout and design of the printed form.
- Stock Warnings: QBO warns you about zero or negative inventory when you create the transaction (e.g., a Sales Order). Simply changing a template from a Sales Order to a Packing List does not re-check the stock; it only changes how the document looks. The stock check happens at the transaction level.
Importing inventory items
When importing inventory items using the Import tool, ensure your data is clean.
- Error Resolution: If the tool reports that you must “correct items in red” but nothing appears highlighted, check for hidden formatting issues or extra spaces in your spreadsheet. Ensure all required fields (like Name or Type) are filled out correctly before attempting to import again.
Security and access
If you are taking over management of a business file:
- Admin Access: You need the admin user ID and password to manage users, subscriptions, and sensitive settings. If you do not have this information, you must recover the account through Intuit’s account recovery tools.
- Data vs. Program: The password protects the specific company data file, not the QuickBooks Online application itself. If you can access the file, you can use the features available in your subscription. For managing payroll or other services, ensure you are logged in with the correct user credentials that have those permissions.
