Customize your invoice templates in QuickBooks Online

You can personalize the look and feel of your invoices to match your brand. QuickBooks Online offers several built-in styles, and depending on your subscription, you may have options to import your own designs or adjust specific fields.

Access the customization menu

To change your invoice template or layout:

  1. Select the Settings gear icon in the upper right corner.
  2. Select Custom form styles under the Your Company column.
  3. To edit an existing template, locate it in the list and select Edit.
  4. To create a new one, select New style and choose Invoice.

Once inside the editor, you can adjust the visual elements of your invoice:

Fix missing address information

If your mailing address is not printing on your invoices, check your template settings:

  1. Go to Settings > Custom form styles.
  2. Edit the specific template you are using.
  3. Go to the Content tab.
  4. In the header section, ensure the Company address box is checked and populated.

Import custom templates (Advanced features)

If the standard templates do not meet your needs, you may be able to import a custom design. Note that this feature is part of QuickBooks Labs and is intended for specific file types (such as .doc), not proprietary layout files.

  1. Go to Settings > QuickBooks Labs.
  2. Find Import Style and turn it on.
  3. Select Done to save.
  4. Go to Settings > Custom form styles.
  5. Next to the New style button, select the arrow and choose Import Style.
  6. Upload your file to apply the custom look.

Note: You cannot import .des files or templates from QuickBooks Desktop (Pro, Premier, Enterprise) or Mac directly into QuickBooks Online. Custom forms do not convert between platforms; you must recreate them using the Online customization tools.

Use different templates for different forms

You can use different templates for invoices, sales receipts, and estimates without creating duplicate transactions. For example, if you want a packing slip:

  1. Go to Settings > Custom form styles.
  2. Create a new style based on your invoice.
  3. Rename the title (e.g., “Packing Slip”) and remove pricing columns in the Content tab.
  4. When you are ready to print, simply select this new template from the Customize menu in the preview screen.
