This guide addresses common questions regarding reporting, data integrity, user access, and inventory management in QuickBooks Online.
Viewing unclaimed VAT on prior returns
If you need to identify purchase invoices entered after a VAT return was filed (and therefore not claimed), you can review your filing history directly in QuickBooks Online.
- Navigate to Taxes (or VAT) in the left navigation menu.
- Select the tax agency you are working with.
- View the Returns history or access prior period reports to see the details of what was filed.
- Review the exceptions or filed details to spot any out-of-period postings that were missed.
Fixing zero values on A/R or A/P Aging Summary reports
If a customer or vendor name appears on your Accounts Receivable (A/R) or Accounts Payable (A/P) Aging Summary report with a total balance of 0, it usually means transactions exist but are not correctly linked.
To resolve this, you must link the payments and bills or invoices:
- Open the specific A/R Aging Summary or A/P Aging Summary report.
- Double-click the 0 balance amount next to the customer or vendor name.
- This opens a Transaction Report. Double-click the specific Payment or Bill Payment listed there.
- In the transaction window, ensure the correct invoices or bills are checked in the section applied to the payment.
- If credits are involved, select Apply Credits to link them to the open invoice.
- Click Save and close.
Once the transactions are linked, the name will no longer appear on the report with a zero balance.
Setting up sales tax rates for specific locations
QuickBooks Online does not automatically import or bulk-update sales tax rates for specific cities, counties, or states (such as Washington State). You must manually create the tax items or combined rates you need.
To track sales tax for multiple jurisdictions (state, county, city):
- Go to the Settings gear icon and select Taxes (or Sales Tax).
- Select Add tax or Create custom rate.
- Create a Combined tax rate (similar to a “Tax Group” in older versions) that includes all the necessary components for that location.
- Name the rate clearly, often using the Zip Code or a range (e.g.,
799xxor78028 - 78032), to easily identify the correct rate when entering transactions.
Troubleshooting “Maximum number of users” errors
If you receive an error stating you have exceeded the maximum number of users, verify the following:
- User Licenses: Ensure your QuickBooks Online subscription supports the number of users trying to log in simultaneously. You can check this in the Settings gear icon under Account and settings > Billing and subscription.
- Concurrent Access: Unlike Desktop versions hosted on a local network, QuickBooks Online is a cloud service. It manages user concurrency automatically. If you are hitting a limit, it is strictly due to the user seat limit on your subscription, not a network storage issue.
- Browser Sessions: Sometimes a single user may have multiple active browser tabs or sessions open. Closing unused tabs or logging out completely from other devices can free up a seat.
Managing negative inventory adjustments
If you see unexpected negative adjustments in your inventory, it is often due to how items are received during data entry.
When receiving inventory (creating a Purchase Order or Bill):
- Ensure you enter the quantity received in the correct Qty or Received column.
- Do not manually adjust the “On Hand” quantity field in the item list itself to reflect new stock; this creates an adjustment rather than a receipt.
- Always receive items through the Expenses or Vendors menu (via Enter Bill or Purchase Order) to ensure inventory cost and quantity are recorded accurately.
Closing the books to prevent changes
If you want to restrict changes to transactions from a previous period (closing the month), but retain the ability to unlock it later, use the “Close the books” feature.
- Go to the Settings gear icon and select Account and settings.
- Click the Advanced tab.
- Find the Accounting section and select Edit in the “Close the books” row.
- Enter the Closing date.
- Choose a password (optional but recommended) to restrict changes to authorized users only.
This allows you to “lock” the data. If you need to make changes later, you can return here, remove the closing date, or enter the password to override the restriction.
Note: QuickBooks Online does not use an “Accountant’s Copy” file like Desktop versions. Instead, you invite your accountant as a user so they can review and correct data directly in your live company file.
