QuickBooks Online: Expense Tracking, App Sync, and Account Management
We understand that managing expenses, syncing third-party apps, and handling specific accounting scenarios can be complex. This guide addresses common questions regarding entering expenses, the Sync with PayPal app, and general account management in QuickBooks Online.
Entering Credit Card Expenses
When recording business expenses incurred via credit card, it is important to choose the correct entry type to ensure accurate books.
Account Details vs. Item Details
In the Expense transaction screen, you will see two main tabs for categorizing your purchase:
- Account Details: Use this tab for regular business expenses, such as office supplies or rent. This is the standard method for tracking general operating costs.
- Item Details: Use this tab when you need to track specific details for job costing, inventory, or item-based services.
For most credit card purchases, including business cards, you should use the Account details tab. Select an expense account such as “Office Expense” or “Supplies” to record the transaction.
Matching Imported Transactions
If your credit card is connected to QuickBooks Online for bank feeds, you do not need to enter expenses manually. Instead, review the Banking or Transactions tab.
When the downloaded transaction appears in the list, you can Add it directly to the register. If you have already entered a transaction manually, QuickBooks will attempt to find a match. You can select the downloaded entry and choose Match to link it to your existing record, avoiding duplicates.
Sync with PayPal App
We value your feedback regarding the functionality of third-party integrations.
PayPal Debit Card Support
Currently, the Sync with PayPal app does not support the automatic import of transactions completed using a PayPal-branded Debit Card. We understand this is an important feature for users who utilize these cards for business operations.
We are actively exploring options to support the native importation of PayPal-branded debit card transactions. We may offer opportunities for users to opt-in to testing this functionality in the future as development continues.
Account Balances and Credits
Handling customer credits and retainers requires specific procedures to ensure your Balance Sheet is accurate.
Customer Credits as Liabilities
QuickBooks Online follows standard accounting practices where customer credits are held within the Accounts Receivable (A/R) account. While you may wish to move these credits to a liability account for specific reporting needs, the system is designed to keep them associated with the customer’s A/R balance.
If you manage retainers or customer deposits by holding them in a liability account, QuickBooks will not automatically associate those funds with an invoice. To ensure accuracy:
- Maintain an office procedure to run a report on your retainer/liability account before finalizing invoices.
- Manually apply the liability payment to the invoice when appropriate.
General Product and Payroll Notes
- Payroll Tax Schedules: Federal payroll tax due dates depend on your specific deposit schedule (monthly or semi-weekly). While Form 941 is filed quarterly, your actual tax payments are due according to the schedule assigned to you by the IRS. Always refer to your IRS deposit schedule or tax professional for specific due dates.
- Product Versions: QuickBooks Online is a cloud-based product distinct from desktop versions (such as Pro, Premier, or Enterprise). Features, system requirements, and tax compliance vary significantly between regions and product types. Ensure you are using the version specific to your country and business needs.
