Customize email messages for sales forms
You can personalize the emails that accompany your invoices, estimates, and other sales forms. By setting up a default message and greeting, you save time and ensure consistency when communicating with customers.
Change the default email message
You can update the subject line and body text for the emails sent with your sales forms. This allows you to maintain a professional tone or include specific payment instructions without typing them manually every time.
- Select the Settings gear icon.
- Select Account and settings (sometimes labeled as Company Settings).
- In the left menu, select Sales.
- Find the Messages section and select the Edit (pencil icon).
- Select the Sales form drop-down menu to choose the type of form you want to customize (Invoice, Estimate, Credit Memo, Sales Receipt, or Statement).
- Update the Subject and Email message fields as needed.
- Select Save.
Add or change a greeting
To automatically include a personalized greeting at the beginning of your emails:
- Go to Settings > Account and settings > Sales.
- Select Edit in the Messages section.
- Check the box for Use greeting.
- Use the drop-down menus to select your preferred greeting format.
- Select Save.
Receive a copy of sent emails
If you cannot see the messages you send to customers in your email outbox, you can configure QuickBooks to email a copy to yourself.
- Go to Settings > Account and settings > Sales.
- Select Edit in the Messages section.
- Check the box for Email me a copy.
- Select Save.
This ensures you have a record of every invoice or estimate sent directly to your inbox.
