Set up and manage multi-user access in QuickBooks Online
QuickBooks Online allows multiple users to access your company file simultaneously, making collaboration easier. Because QuickBooks Online is cloud-based, you do not need to manage network servers, database services, or specific folder permissions like you would with desktop software.
Adding users to QuickBooks Online
You can invite team members to access your company file based on their roles. The number of users who can work in the file at the same time depends on your subscription plan.
- Select the Settings gear icon.
- Select Manage users.
- Select Add users.
- Choose the user type (e.g., Standard, Admin, Custom) and select Next.
- Enter the user’s name and email address.
- Select the user settings and access rights, then select Next.
- Review the information and select Add user.
The user will receive an email invitation to create their own Intuit account credentials.
User limits and simultaneous access
The maximum number of users allowed in your company file is determined by your specific QuickBooks Online subscription tier (e.g., Simple Start, Essentials, Plus, or Advanced).
- Simultaneous access: Unlike older desktop versions that had strict limits on simultaneous connections (often 3 to 5 users), QuickBooks Online allows all licensed users to work in the file at the same time.
- Licenses: You do not need to install software on individual computers. Users simply log in via a web browser or the mobile app using their unique credentials.
Accessing QuickBooks Online from different locations
Because your data is stored securely in the cloud, you are not restricted to a single office network or a specific server.
- Multiple locations: Users can access the file from different offices, home offices, or while traveling, provided they have an internet connection.
- Network requirements: You do not need to configure a local network (LAN) or VPN. As long as the device has a stable internet connection (Wi-Fi or wired), the data will sync in real-time.
Troubleshooting common issues
If you experience issues with users accessing the file or features not behaving as expected, try these steps:
- Browser issues: If auto-fill or other interface elements seem slow or unresponsive, ensure your browser is up to date. Clearing your browser’s cache and cookies often resolves display or performance glitches.
- Connectivity: If you cannot send emails or access the file from a new location (like a home office), verify that your internet connection is stable. QuickBooks Online requires an active internet connection to sync data and send transactions.
- User permissions: If a user cannot see specific data, check their user role in Manage users to ensure they have the correct access permissions.
