Manage payees and transaction details in QuickBooks Online
Understanding how payees work in QuickBooks Online helps keep your books accurate and your reports reliable. Whether you are entering expenses manually, reviewing bank feeds, or managing vendor details, these guidelines cover the essentials.
Should every expense have a payee?
While it is good practice to assign a payee to transactions for better tracking, you do not need to enter every single individual name into your data file. For small, frequent cash or credit card transactions (like coffee or snacks), consider using generic names such as “Misc Food.” This keeps your Payee list manageable while still allowing you to categorize the expense.
How downloaded transactions handle payee names
When transactions download from your bank or credit card provider, the payee information depends on the source:
- Credit Cards: These typically include the merchant name from your charges, and this information downloads into QuickBooks.
- Bank Transactions: Banks do not have access to the names you wrote on your checks or deposit slips. Therefore, that specific data is not available to download. You will need to manually add or recognize the correct payee for these transactions within QuickBooks.
Managing Bank Feed rules for payees
If you notice that the “Payee” field in new Bank Feed transactions is reverting to previous entries unexpectedly, check your Bank Rules. There are no hidden settings that should overwrite your rules, but browser cache issues can sometimes cause display glitches.
To verify your rules are correct:
- Select Transactions from the left navigation menu.
- Choose Banking (or Transactions depending on your view).
- Click the Update drop-down menu (or the pencil icon/rule manager).
- Select Manage Rules.
- Click Edit next to a rule to review or modify the conditions.
If the rules look correct, try clearing your browser’s cache and cookies or logging in from an incognito/private window to ensure the software is functioning smoothly.
Customizing payee types
Currently, QuickBooks Online does not allow you to add new or custom “Payee Types.” If this is a feature you need for your workflow, we recommend sending feedback to our product team through the Gear icon.
Handling credit card refunds and overpayments
If you receive a check from a credit card company (for example, due to an overpayment or refund), you must record it correctly to avoid categorizing it as a charge.
- Do not post it to the credit card account itself.
- Record the transaction as a Deposit.
- In the “Add funds to this deposit” section, select an Other Income account.
- Treat the credit card company as the Payee, not the account associated with the deposit.
1099 reporting and loan payments
If a principal payment on a loan is incorrectly appearing as income to a payee on a 1099 report, check your 1099 Wizard settings. You likely linked a debt or liability account to the 1099 mapping function.
To correct this:
- Go to the Expenses or Vendors menu and access the 1099 Wizard (usually found under Prepare 1099s).
- Review the mapping settings.
- Ensure the debt or loan account is changed to Omit so it does not trigger 1099 reporting.
Ordering supplies and forms
For inquiries regarding checks, tax forms, envelopes, or other supplies:

- Order status: Check your email confirmation or log in to your account on the supplies site.
- Returns or Cancellations: Contact the supplies support team directly using the help link on the order page.
