Print checks, statements, and reports in QuickBooks Online
This guide covers how to print checks, resolve common printing issues, and print statements or reports in QuickBooks Online.
Print checks
To print checks, you must ensure they are added to the print queue. If you create a check but do not see it in the list of checks to print, the Print later option was likely not selected.
- Select the + New button.
- Select Check under the Vendors column (or Payees).
- Fill out the check details.
- Look for the Print later checkbox at the top of the check window (usually near the “Print” or “Save” options).
- Check the Print later box.
- Select Save and close.
Once saved, the check is queued for printing. To print the batch:
- Go to the + New menu.
- Select Print checks.
- Select your bank account.
- Review the list in the Checks to be printed section. If a check is missing, open it again and ensure Print later is checked.
Note: If you are using QuickBooks Online in a language other than English and do not see the Print later checkbox, try switching your language settings to English temporarily to access the option. You can switch it back after checking the box.
Align checks
If your checks are not lining up correctly when printed, you can adjust the alignment settings.
- Select the + New button.
- Select Print checks.
- Select the Setup and alignment link (usually located near the bottom or top of the print preview window).
- Follow the on-screen instructions to fine-tune the alignment for your specific printer and check stock.
Print statements
You can create and print statements to send to customers showing a list of invoices, payments, and balances.
- Select the + New button.
- Select Statement under the Other heading.
- Choose the Statement type, Customer, and Statement date.
- Select Apply to view the statement.
- Select the Print icon in the upper right corner to generate the PDF.
Troubleshoot PDF and printing issues
If you can print some forms (like statements) but not others (like invoices), or if the print preview window does not appear, this is often related to your browser’s PDF settings or system PDF viewer.
- Use the PDF Repair Tool: If you are on a Windows system, Intuit provides a PDF and Print Repair Tool to help resolve conflicts with other PDF software (like XPS Writer). You can find this tool on the official Intuit support site.
- Browser Settings: Ensure your browser is set to allow pop-ups from
quickbooks.intuit.com. Sometimes, the print preview opens in a new tab or window that is blocked. - System PDF Viewer: If the “Save” dialog box does not appear, check your system’s default PDF viewer settings to ensure it is functioning correctly.
Customize report fonts
You can adjust the font size and style on your reports for better readability.
- Open any report.
- Select the Gear (Settings) icon in the report header.
- Select Change font.
- Choose your desired font, style, and size.
- Select OK.
If you memorize the report after changing the font, QuickBooks Online saves your preference for that specific report.
