Manage your company data: Import, export, and backups in QuickBooks Online

QuickBooks Online (QBO) is a cloud-based product designed to keep your data secure and up to date. Because it differs significantly from QuickBooks Desktop, it is important to understand how to move data in and out of the service, as well as the limitations on restoring previous versions.

Moving from QuickBooks Desktop to QuickBooks Online

If you are converting your data from a Desktop version (Pro, Premier, or Enterprise) to QuickBooks Online, there are specific rules and timeframes to follow.

Overwriting an existing QuickBooks Online file

If you already have a QuickBooks Online company but want to replace it entirely with data from your Desktop file, you can only do so if your QuickBooks Online account is within 60 days of its creation date. After 60 days, the option to overwrite existing data is no longer available.

What to know before you switch

Not all features in QuickBooks Desktop function the same way in QuickBooks Online. Before you migrate, we recommend reviewing the official export limitations to ensure your workflow is supported. Pay close attention to how inventory is handled, as this often requires specific adjustments during the import process.

Note: QuickBooks Desktop and QuickBooks Online do not sync or communicate with one another. They are separate platforms; once you move to Online, you manage your data exclusively in the cloud.

Importing bank transactions and data files

When importing bank data (such as .QBO or .CSV files) or other external financial data, you may occasionally encounter issues with mapping or missing information.

Reviewing imported bank data

If you download transactions from your credit card company or bank and import them, you may initially feel that data is missing. Usually, the data is present but requires review. You must manually go to the Banking or Transactions menu to accept the transactions into your registers. The import process brings the data in, but it does not automatically finalize it until you review and add it.

Fixing incorrect account mapping

If you attempt to upload a bank file and QuickBooks Online tries to place it into the wrong (or old) bank account, you can correct this by adjusting your bank settings:

  1. Go to the Settings (gear icon).
  2. Select Chart of Accounts.
  3. Locate the account where the data is incorrectly being sent and select Edit (or view the register).
  4. Look for the bank feed settings and disconnect or disassociate the online service for that account.
  5. Once disconnected, you can re-import your file and manually map it to the correct bank account.

Importing data from Quicken

Directly importing a Quicken file into QuickBooks Online is not a standard feature. Additionally, separating personal and business transactions within a Quicken file can be difficult.

If you need to move data from Quicken, we recommend one of the following approaches:

Backups and restoring data

Unlike QuickBooks Desktop, QuickBooks Online does not utilize local backup files (.qbb or .qbw) that you can save and restore on your own.

Can I restore my company to a previous date?

QuickBooks Online does not have a standard “Undo” button or a user-controlled restore feature to roll back your entire company file to a specific date. If you import data, it will overwrite or add to the existing data; there is no option to “undo” an import by reverting the whole file.

Third-party backup options

While Intuit does not provide a manual restore feature, some third-party apps offer backup solutions for QuickBooks Online. These tools can typically create a snapshot of your data, but they are usually designed to restore data only to the current company file, rather than creating a brand new company file. If you need to test fixes for issues like reconciliation errors, you may want to explore these third-party apps in the QuickBooks App Store.
