Manage common accounting and payroll tasks in QuickBooks Online
This guide covers how to handle specific transaction corrections, record unique income types, and troubleshoot known payroll issues.
Void a received payment
If you need to cancel a payment that has been recorded but not deposited, you can void it. Voiding changes the amount to zero but keeps a record of the transaction in your books.
- Select Transactions from the left menu.
- Choose Sales.
- Open the specific payment transaction you want to void.
- Select More located at the bottom of the screen.
- Click Void.
- Select Save and close.
Record in-kind donations
In-kind contributions are services or assets (other than cash) donated to your organization, such as office supplies, furniture, or professional services. Because accounting for these can vary based on your specific situation, we recommend consulting your accountant to determine how to record them.
To set up an in-kind donation, you first need a specific income account to track these contributions:
- Select the Gear icon, then Chart of Accounts.
- Click New.
- Under Category Type, select Income.
- Under Detail Type, select Non-Profit Income.
- Enter the relevant details and save.
Once the account is created, you can record the donation using a sales receipt or deposit, depending on how you receive contributions.
Manage Work in Progress (WIP) income
Recording WIP income depends on whether you are tracking it as immediate income or as deferred revenue (a liability).
- Immediate Income: If you recognize income immediately, you offset (or “close”) the WIP to an expense at the same time. This follows the Matching Principle, ensuring you recognize the costs related to that income simultaneously.
- Deferred Revenue: If the income is initially a liability, you “release” funds from the liability to income when you recognize the revenue. You must also close the WIP proportionately.
For a completed project, your profit is generally calculated as: Total Funded minus WIP Costs.
Troubleshoot Purchase Order status
If a Purchase Order (PO) displays a “Received in Full” stamp but shows a zero balance, the system considers the order Closed because there is no remaining financial activity.
To resolve this and update the status, enter a value into the cost field. You can use a quote or an approximate cost if the actual cost is not yet finalized. This will remove the “Received in Full” status if the order is not actually complete.
Payroll and tax payment troubleshooting
Missing Federal 941 Payment Confirmations
If you made a Federal 941 payroll tax payment in QuickBooks Online Payroll but did not receive the Federal Payment Confirmation (E-Payment Report), this may be due to a known system issue.
Our engineers are aware of situations where confirmation emails are delayed or missing. These emails are important for verifying successful payments and tracking confirmation numbers. We are working to resolve this. If you are affected, check official Intuit support channels for the latest updates.
Bank of America Payroll tab errors
Some customers using Bank of America with Intuit Online Payroll encounter a system error when clicking the Payroll tab on the bank’s website. The error message states: “You’ve received a system error that we need to review and resolve for you.”
We are currently working with Bank of America to fix this integration issue. If you see this error, please try accessing the website again later or contact customer support for assistance.
Multiple payroll accounts for one employee
While it is technically possible to issue paychecks from multiple payroll accounts for a single person, it is generally not recommended.
Tax calculations treat each paycheck as an isolated event. The system looks up tax tables based on the gross pay and frequency of that specific check only; it does not aggregate with other checks issued to the same employee. This can result in incorrect annualized tax calculations, leading to under-withholding or over-withholding for federal and state taxes.
