Manage Products and Services in QuickBooks Online
QuickBooks Online makes it easy to track what you sell. Whether you need to create a single item, import a list from Excel, or troubleshoot issues, this guide covers the essentials for managing your Products and Services list.
Create and edit items
To set up your products and services, or to distinguish between different types of services you offer, follow these steps:
- Select the Gear icon.
- Select Products and Services.
- To add a new item, select New and choose the type (Service, Inventory, Non-inventory, or Bundle).
- Fill in the necessary details. If you need to categorize income differently, ensure you select the correct Income account in the detail section.
- Select Save and close.
To edit an existing item, simply click on the item name in the list to make changes.
Import products and services
If you have a large list of items, you can import them directly from Excel rather than entering them manually.
- Select the Gear icon.
- Under Tools, select Import Data.
- Click Products and Services.
- Select Choose File (browse to your Excel file) and follow the on-screen instructions to upload and map your data.
Bulk editing capabilities
Currently, QuickBooks Online does not offer a feature to mass edit multiple products and services simultaneously. If this is a feature you need for your workflow, we encourage you to submit feedback:
- Select the Gear icon.
- Select Feedback.
- Enter your suggestion and submit it to our development team.
Troubleshooting list issues
If your Products and Services list is not loading correctly or displays errors, it may be related to a temporary known issue. These incidents are typically resolved quickly by our engineering teams.
If the problem persists, try clearing your browser cache or using an incognito window to rule out local browser data issues.
Merchant Services and payments
While setting up payment processing, you may need to provide tax identification information.
- Using an ITIN: You can generally use an Individual Taxpayer Identification Number (ITIN) to set up Merchant Services if you do not have a Social Security Number (SSN).
- Cancelling Merchant Services: If you need to cancel your payment processing account, be sure to specify that you are cancelling only “Merchant Services.” This ensures your main QuickBooks Online subscription remains active.
